Who we’re looking for  

We are open to candidate across Canada as this is a remote first opportunity, but preference will be given to local candidates within Toronto, Ontario. 

We’re looking for a highly organized Business Operations Specialist (on contract for 1 year, potential to extend) to support the execution of operational initiatives across Audi RED, with a focus on access management. Reporting to the Senior Operations Manager, this role provides reliable support to help ensure our processes and day-to-day activities run smoothly. You will serve as a key point of coordination among delivery teams, working with internal, client and partner stakeholders to support cross-functional collaboration. 

Key Responsibilities 
 
Access Management 

  • Coordination and fulfillment of all system access requests from agency partners, clients and internal team members 
  • Administration of Jira service portal to manage requests  
  • Process alignment with key stakeholders on access topics 
  • Maintenance of accurate and up to date documentation  
  • Coordination of Quarterly Access Reviews 

Business Operations  

  • Coordinate operational onboarding of new employees, including scheduling activities and supporting new team members through the entire onboarding process 
  • Maintain onboarding and offboarding documentation 
  • Administer internal tooling (e.g., SharePoint, Atlassian, Figma) 
  • Coordinate with vendor and client Operations teams on shared topics (processes, access, onboarding/offboarding, tooling) 
  • Provide project management support for internal initiatives, as required  
  • Provide general administrative and coordination support to team members, as required 

Audit/Compliance Activities  

  • Provide execution and coordination support to the Senior Operations Manager for certification and compliance initiatives (e.g., TISAX, ISO 27001), including: 
  • Supporting evidence collection and tracking, documentation upkeep, and coordination of inputs across teams 
  • Assisting with operational risk and policy review activities, including quarterly risk reviews and annual policy updates 
  • Coordinating scheduled compliance activities such as annual Business Continuity testing and maintaining related documentation 

Requirements 

  • 1–3 years of experience in an operations, project management, or similar role. 
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously. 
  • Ability to provide project management support to initiatives end-to-end, including planning, coordination, execution, and follow-through. 
  • Excellent written and verbal communication skills. 
  • Ability to work with a high degree of ownership and follow-through, proactively identifying gaps and ensuring tasks are completed. 
  • Strong experience with team collaboration and project management tools (e.g., Jira, Confluence, Sharepoint, MS365). 
  • Experience working within Jira service management, or a similar ticketing system. 
  • Ability to create and maintain detailed process documentation. 
  • Professional, service-oriented approach when working with internal stakeholders and external partners. 
  • Ability to work effectively in a remote-first environment while supporting occasional in-office needs.
